Privacy Policy

1. Introduction

This Privacy Policy explains how Dame Enterprises (dba Cheer Team) (“Cheer Team,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our mobile applications, websites, and related services (the “Service”). Cheer Team is a team-management platform for cheer programs that helps coaches manage rosters, communicate with athletes and parents, schedule events, collect dues, and share team content.

By using the Service, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use the Service.

2. Who This Policy Applies To

This Policy applies to all users of the Service, including:

  • Coaches and program administrators who create and manage cheer programs;
  • Parents and legal guardians who join a program to stay informed about and pay dues for their athletes;
  • Athletes who are members of a program. Athletes under the age of 13 do not have their own accounts; their information is provided and managed by a parent or coach on their behalf, as described in Section 7.

3. Information We Collect

We collect information in three ways: (a) information you provide directly, (b) information we collect automatically, and (c) information from third parties.

3.1. Information You Provide

  • Account information. When you create an account, we collect your name, email address, phone number (optional), profile photo (optional), short bio (optional), and the role you occupy in your program (coach, parent, or athlete).
  • Authentication credentials. If you sign in with Apple, Google, or another supported identity provider, we receive an authentication token and your name and email address as provided by that provider. We do not see or store the password you use with that provider.
  • Roster information. Coaches and program administrators enter information about athletes (first name, last initial, grade, position, team assignment) and parents (name, contact information). Parents may also enter or update information about themselves and their linked athletes.
  • Communications. Direct messages, channel posts, announcements, reactions, and replies you send within the Service. Files, photos, audio recordings, and videos you upload for music, training, performances, or general team use.
  • Calendar and event information. Events you create (title, location, date, time, attendees), attendance you record, and (if you connect a third-party calendar) the calendar events we sync on your behalf.
  • Payment metadata. When you pay dues, we collect metadata about the transaction (amount, what it was for, who paid, when). Card numbers and other sensitive payment information are handled directly by Stripe and are never stored on our servers. See Section 5 for details on Stripe.
  • Support requests. Information you provide when you contact us for help.

3.2. Information Collected Automatically

  • Device information. Device model, operating system version, app version, language and region settings, and a device-specific push notification token.
  • Usage information. Pages and features you use, actions you take in the app, the date and time of those actions, and crash logs and performance diagnostics.
  • Approximate location. When you connect a calendar or use map-related features, we may obtain approximate location information from your device. We do not continuously track your location.

3.3. Information from Third Parties

  • Identity providers (Apple, Google). Your name and email address as provided when you sign in.
  • Stripe. Receipts and transaction status for payments processed through the Service so we can show up-to-date paid/unpaid status to the right people. Stripe does not share full card details with us.
  • Apple App Store and Google Play. Subscription status, renewal dates, and refund events for in-app subscriptions you purchase.
  • Calendar providers (Google Calendar, Apple Calendar). Only the events you authorize us to sync.

4. How We Use Information

We use the information we collect to:

  • Operate, maintain, and improve the Service, including building new features and fixing bugs;
  • Authenticate you and protect your account from unauthorized access;
  • Make your information visible to the people in your program who need it (your coach can see roster info you provide; parents in the same program can see whose kids are on the team; etc.);
  • Process payments, including showing parents what they owe and showing coaches who has paid;
  • Send service-related communications, including push notifications, emails, and in-app messages (for example, “A new charge has been issued” or “Your dues were received”);
  • Respond to your questions, support requests, and reports of problems;
  • Detect, investigate, and prevent fraudulent activity, abuse, and violations of our Terms of Service;
  • Comply with legal obligations, respond to lawful requests from law enforcement, and enforce our agreements;
  • With your separate consent, send you marketing messages about new features (you can opt out at any time).

5. How We Share Information

We do not sell personal information to third parties. We share information only as described below.

5.1. Within Your Program

Information you provide is shared with other members of your program (coaches, parents, athletes) according to the visibility rules of each feature. For example:

  • Your name and profile photo are visible to other members of any program you join;
  • Roster information is visible to all coaches of your program and to parents linked to those athletes;
  • Channel posts and announcements are visible to everyone in that channel;
  • Direct messages are visible only to the parties to the conversation.

5.2. Service Providers

We share information with third-party service providers who help us operate the Service. They are contractually required to keep information confidential and to use it only for the services they provide to us. Our principal service providers are:

  • Google Firebase (authentication, database, storage, push notifications, hosting). Information processed by Firebase is governed by Google's privacy practices at firebase.google.com/support/privacy.
  • Stripe (payment processing). When you make or receive a payment, Stripe collects the payment information directly from you and processes it under its own privacy policy at stripe.com/privacy. We receive only transaction metadata.
  • Apple and Google (in-app subscription billing, authentication via Sign in with Apple / Google Sign-In, calendar sync). Information you share with Apple or Google is governed by their respective privacy policies.

5.3. Legal and Safety

We may disclose information when we believe in good faith that disclosure is necessary to:

  • Comply with a law, subpoena, court order, or other legal process;
  • Enforce our Terms of Service or other agreements;
  • Protect the rights, property, or safety of Cheer Team, our users, or the public, including investigation of fraud, abuse, or threats to minors.

5.4. Business Transfers

If Cheer Team is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you (e.g., by email and a prominent in-app notice) before your information is transferred and becomes subject to a different privacy policy.

5.5. With Your Consent

We may share information for other purposes if you give us specific consent.

6. Public and Discoverability Features

Coaches may opt their program into our discoverability feature, which lets prospective athletes and parents find and request to join the program. When a program is set to discoverable, the program name, city, sport, age group, and logo are visible to all users of the Service. Roster information is never made public through this feature.

7. Children's Privacy

Cheer Team is designed for adults to coordinate youth cheer programs. We take children's privacy seriously and our practices are designed to comply with the U.S. Children's Online Privacy Protection Act (COPPA), the EU General Data Protection Regulation as applied to children (GDPR-K), and the UK Age Appropriate Design Code, where applicable.

7.1. Age Limits

  • Children under 13 may not create their own Cheer Team accounts. If we learn that we have collected personal information directly from a child under 13 without verifiable parental consent, we will delete that information promptly.
  • Athletes ages 13-17 may create accounts only with their parent or legal guardian's consent, given through the Service's parent-linking workflow.

7.2. How Children's Information Is Collected

A child athlete's information (name, grade, position, photo, team assignment) is normally entered by their parent, legal guardian, or coach. When a coach enters information about a minor athlete, the coach represents to us that they have the right to do so (for example, the parent has consented as part of the program's registration process). Parents may review, correct, or request deletion of their child's information at any time by contacting their coach or support@cheerteam.app.

7.3. Special Protections for Minors

  • We do not show advertising in the Service;
  • We do not use children's information for marketing or to build behavioral profiles;
  • Direct-message and chat features are gated in age-appropriate ways to limit contact between adults and unrelated minors;
  • We use automated content moderation and human review to identify and remove inappropriate content involving minors.

8. Your Rights and Choices

8.1. Access, Correction, and Deletion

You have the right to:

  • Access the personal information we hold about you. Most of this information is visible to you in the app; you can request a complete export by emailing support@cheerteam.app.
  • Correct inaccurate information. You can update your own profile in the app. Coaches can correct roster information they manage.
  • Delete your account and associated personal information. In the app, go to Settings → Legal → Delete my account. We complete deletion within 30 days, subject to legal retention obligations described in Section 10.

8.2. Marketing Communications

You can opt out of marketing emails by clicking the unsubscribe link in any marketing email. Service-related notifications (e.g., charge issued, payment received) cannot be turned off while you have an active account, though you can adjust which push notifications you receive in Settings.

8.3. California Residents (CCPA / CPRA)

If you are a California resident, you have the right to know what personal information we have collected about you, to delete it, to correct it, and to limit our use of sensitive personal information. You also have the right not to receive discriminatory treatment for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising. 8.4. European Economic Area, UK, and Switzerland (GDPR)

If you are in the EEA, UK, or Switzerland, you have the rights to access, rectification, erasure, restriction, portability, and objection under the GDPR. The legal bases on which we process your information are: performance of a contract (operating the Service), legitimate interests (improving the Service, security, fraud prevention), legal obligations (tax, recordkeeping), and consent (where you have provided it). To exercise your rights, email support@cheerteam.app. You may also lodge a complaint with your local data protection authority.

9. International Data Transfers

Cheer Team is operated from the United States. If you are located outside the United States, the information you provide will be transferred to and processed in the United States, where data protection laws may differ from those of your country. By using the Service, you consent to this transfer.

10. Data Retention

We retain personal information for as long as your account is active and as needed to operate the Service. When you delete your account, we delete or anonymize your personal information within 30 days, with the following exceptions:

  • Payment records. We retain transaction records (without sensitive payment details) for at least seven (7) years to comply with U.S. tax and accounting requirements. Stripe retains payment data independently per its own obligations.
  • Legal holds. We retain information when required by law, a court order, or to investigate suspected fraud or abuse.
  • Aggregate and de-identified data. We may retain de-identified or aggregate data that no longer identifies you indefinitely.

11. Security

We use industry-standard administrative, technical, and physical safeguards to protect your information. These include encryption of data in transit and at rest, access controls, and regular security reviews. No system is perfectly secure, however, and we cannot guarantee absolute security. If we become aware of a security breach affecting your personal information, we will notify you as required by applicable law.

12. Third-Party Links and Services

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email (if you have given us an email address) and through a prominent notice in the Service before the changes take effect. The “Last updated” date at the top of this Policy indicates when it was last revised.
